General principles of delegation

  1. Delegate if someone else can do the task instead of you (so you can concentrate on the most important tasks).

  2. Delegate if someone else can do the task better than you.

  3. Delegate if someone else can do the task cheaper than you.

  4. Consider whether the task cannot be completely eliminated.

Six steps to effective delegation

1. Link the task to a worker

Delegating to a wrong person is a big waste of both time and money. For important tasks, do not choose anyone with no experience.

2. Consensus on what to do

Once you have chosen the right person, discuss the task together and agree on how the result should look like.

3. Advice on how to do the task

Describe the selected employee the way you would prefer to acomplish the task. Explain also how his colleagues performed the same tasks in the past.

4. Repeating the instructions

Ask the selected employee to summarize the instructions using his own words. It will help you make sure that you understand each other.

5. Setting a deadline

Pre-set a date by which the task must be done. At the same time, agree on the ways of your future communication.

6. Exception Management

Whenever possible, keep the exception management concept - a deal that the selected  employee will to report to you only if a major problem occurs.
